Setting the stage for successful 1:1s

Hi {{first_name}},

How has your first week in your new role as manager here at {{company_name}} been? Congratulations, again, on your well-deserved promotion.

Your commitment to your team’s success drives this organization forward. I am dedicated to assisting you in your transition to ensure your success and satisfaction as well.

One way we ensure everyone stays on the same page is by conducting regular 1:1 meetings with individual team members. This process is more than a performance evaluation. It helps keep a pulse on how satisfied employees are in their roles, what obstacles they face, and how we can improve their experience.

Look ahead at your schedule and block out time for monthly 1:1 meetings. Be sure to give each team member sufficient time (at least 30 minutes) to discuss their recent wins, share concerns and constructive 360 feedback, and tackle timely tasks. If possible, encourage employees to put themselves on your calendar at a time that works best for you both.

Here’s a quick template to guide your first 1:1s:

  • Start with a temperature check - “How are you feeling today?”
  • Acknowledge recent wins - “What is going well this week?”
  • Open the floor for frustrations - “Is there anything that frustrated you this week?”
  • Discuss work progress - “Have you hit any roadblocks I can help you with?”
  • Offer feedback - “Stress was high this week, but I noticed you stayed focused and positive. Here’s a tip that’s helped me in similar situations…”
  • Ask for feedback - “Is there anything I could do to better help?”

Be sure to resolve administrative tasks such as requests for time off or action items before your next meeting. Above all, focus on creating meaningful relationships. Let me know if you have any questions!

Thank you,

People Team

How to conduct 1:1s with employees

Recurring 1:1 meetings ensure managers and direct reports foster relationships. These meetings help team leaders keep a pulse on employee engagement and happiness while ensuring they have the time, training, resources, and support they need to hit performance goals.

Employee happiness and trust in leadership directly impact performance, productivity, workplace culture, and retention. Leading successful 1:1 meetings requires managers to be familiar with team members so employees can let down their guard and put their heads together to find solutions and meet goals.

Managers should make sure employees know what to expect with a 1:1 and those expectations should be consistent. Clear communication before and after meetings is essential. These discussions should ultimately strengthen relationships between employees and managers and build trust.
